Privacy Policy.
What we collect, why we collect it, who we share it with, and how to get it removed. Written to be read, not to be survived.
This is a structural template, not legal advice. Magnetrix Logistics should have it reviewed by a qualified solicitor in the operating jurisdiction, and every bracketed placeholder completed, before this page goes live.
Who we are
Magnetrix Logistics provides sourcing, supplier vetting, inspection, freight forwarding and Amazon fulfilment services. We are the data controller for the personal information described in this policy.
Registered entity: [LEGAL ENTITY NAME], [COMPANY REGISTRATION NUMBER], [REGISTERED ADDRESS].
Data protection contact: privacy@magnetrixlogistics.com.
What we collect
We collect only what we need to quote, ship and support:
- Contact details: name, business email, phone number and company name, submitted through our forms.
- Shipment information: product descriptions, volumes, origin and destination, supplier details and commercial documentation required for customs.
- Correspondence: emails, messages and call notes relating to your enquiry or shipment.
- Technical data: IP address, browser type, device type, referring page and pages viewed, collected through cookies and server logs.
We do not knowingly collect special category data, and we ask that you do not submit it through our forms.
How we use it
We process personal information to respond to quote, consultation and general enquiries; to deliver contracted services; to meet legal obligations including customs declarations, export controls and sanctions screening; to send service updates about your shipments; to send our newsletter where you have subscribed; and to improve this website.
Legal basis
Where the UK GDPR or EU GDPR applies we rely on contract to provide the services you engaged us for, legitimate interests to respond to business enquiries and secure our systems, legal obligation for customs, tax and sanctions compliance, and consent for marketing email and non-essential cookies. Consent is withdrawable at any time.
Who we share it with
Shipping inherently involves third parties. We share what is necessary and no more with carriers, freight forwarders, customs brokers and port agents; inspection agencies and testing laboratories; suppliers and factories where required to place or verify an order; customs and border authorities; and professional advisers and IT providers under written data processing terms.
We do not sell personal information and we do not share it with advertisers.
International transfers
Freight is cross-border by nature, so your information may be transferred outside your home country, commonly to origin countries in Asia and destination countries in North America, Europe, the Gulf and Oceania. Where data leaves the UK or EEA we rely on adequacy decisions or Standard Contractual Clauses, together with appropriate technical safeguards.
How long we keep it
Enquiries that do not become engagements: 24 months. Client and shipment records: [X] years after the final shipment, to satisfy customs and tax retention rules. Newsletter subscriptions: until you unsubscribe. Server logs: 12 months.
Your rights
Subject to your jurisdiction you may have the right to access, correct, delete, restrict or port your personal information, to object to processing based on legitimate interests, and to withdraw consent. To exercise any of these, email privacy@magnetrixlogistics.com. We respond within one month.
If you are unhappy with our response you may complain to your supervisory authority. In the UK that is the Information Commissioner Office at ico.org.uk.
Cookies
We use strictly necessary cookies to make the site work and, only with your consent, analytics cookies to understand which pages are useful. You can change your choice at any time through the cookie banner or your browser settings.
[COOKIE TABLE PLACEHOLDER: list each cookie, its purpose, provider and lifespan once the analytics stack is finalised.]
Security
We apply access controls, encryption in transit, and staff confidentiality obligations. No system is perfectly secure, but if a breach affects your rights we will notify you and the relevant regulator as required by law.
Changes to this policy
We update this policy when our practices change. The version date is shown above. Material changes affecting your rights will be notified by email where we hold your address.
